For years, I believed productivity meant working harder by adding hours and pushing myself to do more each day. Then circumstances changed.
When I began my MBA while working full-time and raising a pre-teen, I realized effort alone was not enough. I needed a system of habits to stay focused and balanced. That period led me to redefine productivity, and I still rely on those habits today.
Here are five practices that helped me through demanding years and continue to support me in managing competing priorities with clarity and confidence.
Tip 1 — Set Clear Goals That Anchor Your Focus
Productivity without direction is just activity.
When I set my personal and professional goals each year, I start big and work my way down. I ask myself:
- What matters most this year?
- What do I want to accomplish this month?
- What do I want the next week to look like?
These milestones serve as guideposts, providing stability during busy times and reminding me of my purpose.
Tip 2 — Break Big Goals into Manageable Steps
Even highly motivated individuals can feel overwhelmed by large goals. I have observed this in colleagues and experienced it myself.
During my MBA, I broke each assignment into smaller tasks such as readings, research, outlines, discussions, and drafts. While I did not always write them down, I planned them mentally each day. This approach made challenging tasks manageable, and I continue to use it for large projects.
Dividing tasks into smaller steps reduces overwhelm and builds momentum.
Tip 3 — Plan Your Day with Intention
To-do lists are essential for me. Completing tasks provides a sense of progress and motivation.
I also schedule dedicated time in my calendar for important tasks. While I do not always follow it perfectly, unexpected events are inevitable.
However, returning to my list and time blocks (see my blog post on taking control of your calendar) significantly improves my productivity. This approach frees my mind from remembering every detail and allows me to focus on what matters most.
Tip 4 — Protect Your Focus by Minimizing Distractions
Distractions are constant, from notifications and messages to interruptions and clutter. The following practices help me maintain focus:
- Putting my phone on silent
- Tidying my workspace
- Closing my door and declaring, “I need one hour”
- Wearing headphones, even without music, to reduce background noise
A tidy workspace and fewer interruptions lead to greater mental clarity.
Tip 5 — Reflect Weekly and Adjust as You Go
Every week, I take a few moments to reflect on:
- What worked
- What didn’t
- What small adjustment could make next week easier
There is no perfect system. Productivity is personal and evolves over time. Weekly reflection helps you remain honest, grounded, and adaptable.
